How to:
Access HP Fleet Prices

We’ve all been there – your manager tells you we need pricing to replace the team’s laptops – and the previous IT buyer has just left. Here’s where to start.

Outline your needs

  • How many devices need replacing?
  • Are the users general admin types, or specialists?
  • Are there any problems with current devices, or things that the team wants to be able to do but can't with their current ones?
  • Does your IT security team have any requirements?
  • Do you have a budget to work with?

​With The Laptop Company you can work with one of our Account Managers to help identify these, and which devices will suit. Fleet buyers should be choosing corporate class devices like the HP Elite or Dragonfly ranges, not gaming or student laptops. The goal is to get devices designed to be durable enough for all-day work for at least 3 years. 

1. Are you buying for a public or a private sector company?

If you work in government, you can probably access AoG pricing. If you work for a private company, you may also be able to access HP corporate fleet pricing.  In general, the more devices you need, the better the price you can access.

Track One | You work in the public sector
Are you employed in the Public Sector, such as a government agency, state-owned entity, local council, university, public hospital, or state school? 
  • If yes, your organisation may qualify for special government pricing through the AoG (All of Government) IT Hardware Contract. Contact us to find out if your employer is participating in AoG. We may invite you to nominate The Laptop Company as your Third-Party Agent – this allows you to access HP prices through us. 
  • If you’re part of the public sector but not currently part of AoG, your team may be able to join. Go to procurement.govt.nz/contracts/it-hardware/ find out how to join.
  • Some agencies aren’t required to participate in AoG. If your employer has opted out,  then contact us directly to access HP volume pricing.
​Track Two | You work in the private sector
Is your company located in New Zealand or Australia (we do not supply IT companies  who want to resell devices or export devices overseas).
  • If you work for a private or publicly listed company, contact us directly to  request a quote. Your company may already have an account with us.
  • If you work for a multinational company, check with your IT or procurement  support team in case you need to buy under their global supply contracts.

Information you need to provide for accessing government or business pricing
You will need to provide the following so we can verify your identity  and eligibility to get fleet pricing, including: 
  • Your company's or agency's trading name
  • Your name and role
  • Contact information
  • Workforce size
  • Number of devices you need pricing for
  • General requirements for those devices, including services and support.
What happens next?
  • You will be assigned a dedicated Account Manager – at The Laptop Company,  you can contact them for anything you need, including support and advice. 
  • If your employer doesn’t already have one, your Account Manager will establish a  credit account for your employer, verify your purchasing authorisation, and create a  quote for the requested devices based on your requirements. This pricing is confidential. 
  • If you need to make a variation on the quote, or different options, contact your account manager. They will also let you know the estimated delivery date for each model.

How do you place an order?
If the quoted price meets your team’s requirements, then it’s time to order. Your organisation  might have procurement policies and rules in place, and managerial sign-off requirements.  Check with your manager:
  • If you do not have a procurement policy in place, then check with your finance,  IT, or procurement manager about your employers’ approval process.
  • The quote can then be used to create a purchase order. Depending on your team, this may be performed by finance, procurement, the IT team, through your Procurement System or ERP. 
  • Your Account Manager will guide you through the payment and delivery process,  service provision, and ongoing support.

2. What can you access when you're ordering fleets from The Laptop Company?

You may have procurement, security, and sustainability policies in place. You may also need help migrating users, managing devices, and recycling old devices. Working with The Laptop Company, you can access services including:

  • Repair services and device compatibility testing
  • Hardware customisation and workstation builds
  • End-user device and operating system management and user-experience enhancement
  • Device salvage and accidental damage repairs
  • Staged deployments, budget, and asset lifecycle management
  • Recycling and packaging collection

3. Ongoing support

  • Your Account Manager at The Laptop Company is your primary contact. They can provide guidance on how to manage your computer fleet, software, and your end-users. They can also provide advice about devices that are due for replacement or have expiring warranties, and the recommended replacement for these. 
  • For larger fleets (150+ users), you can opt for an entirely managed fleet solution covering the full lifecycle of all devices, their replacement schedules, support, and software management as part of the Modern Fleet Management service.
  • For HP Elite devices, HP offers both on-site repair capability at your workplace, as well as return to base repairs at The Laptop Company’s four service centres in Auckland, Wellington, Christchurch, and Dunedin. The latter is particularly popular with teams that do not want to undergo fault diagnosis reporting.

Fit for purpose

In general, business and government users should opt for the HP Elite or Dragonfly  range of devices. These are designed for all-business day use for multiple years in corporate environments.
